Hello bookings

Hello books customers into your own Google or Outlook calendars, with capacity, several calendars and your own services.

With Hello bookings, Hello books customers straight into your own calendars. Owners and admins set it up on the Bookings page, under Set up.

How it works on the phone

When a caller asks to book, Hello asks what they need, checks which times are free and offers a couple of options. Once the caller picks one, Hello books it, reads it back and asks for any extra details you've set up, like a vehicle rego. It works the same in website chat and email.

Calendars: people and things

Add a calendar for each person or thing that gets booked:

  • Person on your team: pick them from your phone tree.
  • Something that gets booked, like a workshop bay or a room. Set How many bookings at once. A workshop with 2 bays takes 2 bookings at the same time.

Each one uses your default booking hours, or its own. Hello Solo includes 1 calendar and Hello Team up to 5.

Services

Add each thing customers can book: a name, a short description, how long it takes and any gap after. Choose who or what can do it. Hello books whichever one is free. Under Advanced you can change notice, how far ahead and time steps for one service. Leave them blank to use your defaults.

Hello skips national public holidays. You can add your region's anniversary day, or turn this off if you open on holidays.

Google and Outlook

Choose whose connected calendar each one reads busy times from and adds bookings to. Connect calendars on the Team page.

If a calendar was connected for busy times only, you'll see "Busy times only". Select Reconnect to allow bookings on Team so Hello can add bookings to it. If a booking can't be added, it's still saved in Hello and the Bookings page shows why.

What everyone gets

  • The customer gets a text to confirm, and an email too if they gave one.
  • Your business gets an email for each booking.
  • Every booking shows on the Bookings page, and today's and tomorrow's on Home.

Owners and admins can cancel a booking on the Bookings page. Hello also removes it from the calendar. Let the customer know yourself.

Try it first

On Set up, use Try it: pick a service, type a day and time like "tomorrow morning" and see exactly what Hello would say. You can make a test booking and cancel it afterwards.
